Create Dashboards (Advanced)

Note: this ability is only available for accounts that have the Advanced Analytics plan. For more information, please contact your CS Manager.

Create new dashboards

You can create dashboards from scratch in addition to the default dashboard that the platform offers.

  • Who can create a new dashboard🤔
    Any user can create a new dashboard.

  • Who can view the new dashboard? 🤔
    Anyone with access to one or more items (whose data is included in the dashboard).
    🚩 Note: one can see data based on their permission. One will not see data from items to which they don’t have permission.

  • Who can edit/delete the dashboard? 🤔
    Only the user who created the dashboard and the company admins.

  • How to create a new dashboard? 🤔

    1. Start by clicking the “Create dashboard” button on the top right-hand side of the analytics page.

    2. You can rename the default name of the dashboard by double-clicking on the name.

      🚩 Note: max length of the dashboard name is 50 chars.

    3. Now, you can add new custom charts to your dashboard.


Create new charts

You can create a custom chart to visualize and explore your data. It can be used to get cross-data analytics.

  • Who can create new charts🤔
    Any user can create new charts in their own dashboards.

  • How to create a new chart? 🤔

    1. Start by clicking on the “Create chart” button

    2. Customize the chart’s title

    3.  Select the chart’s type
      There are 5  types of charts: pie, column, word cloud,  table, and plan vs actual.

      • Pie chart

        • Select the workspace

        • Then, select the data source (the field from which the data will be taken)

          • 🤓 Good to know: you can select any closed-ended field as a data source (checkboxes, multiple choice, dropdown, scale, user list, cascading dropdown, table dropdown, date picker)

        • Click “Create”

        • Your pie chart is created:

        • Click on the 3 dots menu to show/hide the percentage & numbers in the pie charts. By default, it is hidden. If you change the default, it will be saved for next time.

          • Click on the 3 dots menu

          • Click on Show data labels

          • The labels of the percentage & numbers will appear.

          • To hide it, click on the 3 dots menu and click on Hide data labels

      • Column chart

        • Select the workspace

        • Then, select the X-axis data source

          • 🤓 Good to know: you can select any closed-ended field as a data source for the X-axis (checkboxes, multiple choice, dropdown, scale, user list, cascading dropdown, table dropdown, date picker) and item creator,
            Or, you can select that the X-axis will be an item. That means that each column = value from a single item.

        • Select the Y-axis data source

          • 🤓 Good to know: If the X-axis is a closed-ended field, then the Y-axis can be a count of the items or it can be a scale/ numeric field (in this case the value displayed is the average value)

          • 🤓 Good to know: If the X-axis is an Item, then the Y-axis can be a scale/ numeric field only.

          • 🤓 Good to know: If the X-axis is a closed-ended field and the Y-axis is a numeric field, you may add a workspace average line.
            The workspace average value is calculated according to the field that was chosen in the X-axis.
            Add “workspace average line” by ticking the “workspace average line” checkbox.

            The “workspace average line” will be displayed on the chart:
        • Click “Create”

        • Your column chart is created:


      • Word Cloud chart
        Allows you to quickly see which topics appear more frequently in the items. In this chart, the weight of each word will be proportional to its frequency.

        • Select a workspace

        • You can select between 2 types of charts: Tags or Topics

        • If you select tags, you have to pick a data source: a paragraph/ lessons field in which its tags will be presented

        • You will see up to 10 most trending topics/ tags

      • Table chart

        • Select a workspace
          🤓 Good to know: for now, rows’ data it’s only items. That means that each row = is an item

        • Select the columns’ data

          🤓 Good to know: the columns’ data source can be any type of field (except for the table field) and/or it can be the creation data and/or it can be the item creator’s (owner) name

        • Click “Create”

        • Your table chart is created:

          • For example:
            In each row, you can see for each item its creator, its creation date, and the lessons

        • 🤓 Good to know:  The first row of the table chart will always be frozen as you scroll up & down

      • Plan vs Actual chart
        If your work involves reporting the actual and target data, you may find it useful to present the actual values versus the target values in a chart in Shamaym.
        For example, you can show the actual sales values versus the target sales values or the progress of the residents in their training compared to their goals.

          • Select a workspace

          • In the data source, you can only select fields that have goals (which can be set in the item’s form).

         

 

🤓 Good to know

  • In each dropdown, you can type to search

  • After creating a new chart, the page will be automatically scrolled down to the newly created chart

  • The charts’ order will be according to their creation order

  • By right-clicking on a segment in a column/pie chart you will be able to:

    1. Use as a filter: the segment will become an advanced search filer segment, and the analytics page will be filtered accordingly

    2. Show all items: will open a pop-up with all the items related to this segment

  • By clicking on the 3 dots menu, you can edit the chart’s type, title, and data sources.

  • Expand <> Collapse option for cascading dropdown pie charts

    1. By default, a cascading dropdown pie chart with drill-down is collapsed

      • You can expand it now by clicking on the 3 dots menu > Expand chart

      • Then, you will see all the levels of the cascading dropdown, expanded

      • You can collapse it again at any time

      • Your choice will be saved for the next time
