Troubleshooting Best Practices - always try these first

  1. Please use the Monday form to report a bug.
  2. If you are using the mobile app, please specify your device’s operation system (iOS / Android version, model number).
  3. If you are using the web platform, please specify your browser’s type and special conditions (i.e. Citrix).

Welcome to Shamaym!

Welcome to Shamaym, the collaborative real-time learning platform that will help you and your team get better, faster.

To log in for the first time, follow these steps:

Web Platform and Mobile App

  1. If you are using the mobile app, make sure you’ve installed the app from your app store
  2. You should have received an email/ SMS invitation to join Shamaym. Open the invitation, and click on the link

  3. Please note that the link may be expired after a while. In that case, you will see an “expired” notification and should ask your client/ team manager to send you a new invitation.
    If you need any assistance, please don’t hesitate to contact us through the Support form or at help@shamaym.com
  4. Create your password, login with your Microsoft account, or log in with SSO (Okta/ Ping)
  5. If you are not able to login with your Microsoft credentials: 
  6. Accept the terms and conditions, and click Proceed

  7. You’re now ready to start getting better, faster! 
I forgot my password
  1. Click on the “Forgot Password?” link

  2. Enter your email address and click ”Reset Password”
  3. You should have received a text message or email with a link to reset your password:
  4. Click on the link
  5. Create a new password, login with your Microsoft account, or log in with SSO (Okta/ Ping)
  6. If you chose to login with Microsoft, enter your credentials and allow access 
  7. If you created a new password, you’ll be redirected to the login page. Use the new password and log in. Don’t forget to save your password!
I see “Invalid mail/ password”

Wait before you make any more attempts, and follow these guidelines:

  1. Check that you entered the correct email and password
  2. Make sure you typing in English
  3. Confirm that you entered the email address used to register for the Shamaym Platform, and not a different one
  4. If all email addresses are still correct, ask the Client Manager to send you a new invitation. You can also try resetting the password by clicking on “forgot password” (see “forgot password”)
I am locked out of my account

Your account will be locked after 5 wrong attempts. To unlock your account, follow these steps:

  1. First, try to reset your password by clicking on “Forgot Password” (see instructions above) 
  2. Second, if that didn’t work for you, ask the Client Manager to send you a new invitation
  3. Just so you know, an account that locks will unlock automatically after an hour

I didn’t receive a “Welcome”/ “Forgot Password” email/ SMS
  1. Please check your spam inbox
  2. Ask your team/ client manager to confirm the email address/ phone number which was entered into the platform (are there any extra spaces? Typos?)
Connect my Microsoft account

You can log in to Shamaym with your Microsoft account, in the following ways:

  1. When you receive a “Welcome to Shamaym” invitation- please see the “Welcome to Shamaym” tab
  2. When you choose to reset your password by clicking on “Forgot Password”- please see the “I forgot my password” tab 
  3. By syncing it through the user profile
  • Log in
  • Click on your user avatar on the upper right side and choose “Profile”
  • Click on the Microsoft icon
  • Log in to your Microsoft account

I’m not able to login with Microsoft
  1. If you are already logged in with a password, log in with your user name and password and sync an account through your user profile
  2. If you already synced your account, make sure you are using the right account

Create Debriefs

How to create a new debrief

Debriefing regularly is the simplest way to jump-start your team’s learning and improvement. It makes it easy to think about fast ways to improve, share them with your team, and implement them immediately.

Web

  1. Click on the “New Debrief” button
  2. If you belong to several teams, choose the team this debrief is most relevant to. If you’re only in one team, you’ll automatically move to the next step

  3. Your debrief form will open. Keep in mind that each team has its own, customized debrief format, so yours might look different than a colleague’s on another team.
  4. Write your debrief lessons, keeping in mind that some questions might be required. You can write up to 5 lessons in one debrief. 
  5. As you write, you’ll see a bird icon pop up.  Click on it to activate Shamaym Assistant, your personalized lesson coach, ready to offer feedback on your lessons.
  6. Adding tags to your lesson helps teammates understand what the debrief is about, and helps everyone search for it more easily later.

  7. You can also assign this lesson as an action item, or make it a brief.

  8. Additionally, you can invite others to collaborate. To learn more about collaborative debriefing, take a look at the collaboration video/ tab
  9. By default, the debrief will be shared with your team, but you can change the sharing settings on your debrief to control who can read it once it’s published. This can be only you, you and your manager, your whole team, the entire company, or specific people that you choose.
    Scroll all the way up to change the sharing settings.
  10. When you finish writing your debrief, click “publish” and your debrief will be shared based on the settings you selected. 
    The debrief will appear on your Shamaym homepage, and in your inbox

     
  11. If you have just one valuable piece of learning to share with the team, you can also write your lesson in the “new lesson” field at the center of your homepage. Note that Shamaym Assistant won’t offer feedback when you write a single lesson. Type in your lesson, choose a team, add tags, and click submit. This lesson will also appear on your feed and in your inbox.
     

Mob

  1. Click the plus sign and then “new debrief”. If you belong to several teams, choose the team this debrief is most relevant to. If you’re only in one team, you’ll automatically move to the next step.

Teams Management

Add users manually

Watch a video tutorial

  1. Go to the “My Teams” page
  2. Click the 3 dots near the team’s name
  3. Select “Edit”
  4. Click on the “Team Members” tab
  5. Click the search line
  6. Click “Add New User”/ search for an existing user


  7. Fill in the user’s details
    – Make sure you add valid details
    Make sure you add an area code for each number (+972 for example) or if you don’t want to add any just write “+0”

  8. Click “Save” and then “Save” again
  9.  The user has now been added. In order for the user will be an active member, click the square next to the user’s name → Click “Send invites/ Save & Send” → and then “Close”
Add users from a file

To create new teams and add new users, please use this template.

  1. At the top of the file, are all the instructions for using it.
  2. The instructions should be deleted once you’re done
  3. You can upload multiple teams at a time- just make sure each team is in a separate tab
  4. Team’s details should be added in the following structure:
  • Team name
    Enter the team name at the “Enter team name here” cell- don’t add the word “team” because it will be added automatically after loading, in the debrief form.
  • Department name
    Enter the department name at the “Enter department name here” cell
  • IsEnabled
    If you want the team to be enabled, you should write TRUE in this field. If you want the team to be disabled, write FALSE (Recommended: TRUE)

5. User’s details should be added in the following structure:

  • TeamMember / TeamManager
    NOTE: There can only be 1 team manager for each team. The team manager has to be in the first row.
  • Email
    NOTE: Make sure the email is correct, valid and that there are no redundant spaces
  • Name
  • Last Name
  • Phone number
    NOTE: Make sure you add an area code for each number (+972 for example) or if you don’t want to add any just write “+0”.

  • IsEnabled
    If you want the user to be enabled, you should write TRUE in this field. If you want the user to be disabled, write FALSE (Recommended: TRUE)

6. Before loading:

  • Make sure all the data you’ve entered is valid (Team name, Department name, Team manager, Team members, Usernames, Emails, Phone numbers, Enabled status)
  • Review the instructions and make sure you haven’t missed anything
  • Delete all empty/ redundant tabs
  • Delete all empty/ redundant rows
  • Make sure the format is exactly like it should be, with all required fields and without any additions

7. Examples for invalid file

  1. Unmatching format- make sure everything is according to the format, with no extra additions

  2. Valid data- Make sure all the data you’ve entered is valid (Team name, Department name, Team manager, Team members, Usernames, Emails, Phone numbers, Enabled status)
  3. Missing/ redundant data- make sure you’ve added all the required data. Review the instructions again if necessary and remove all redundant data.
Edit your team’s debrief format
  1. Go to “My Teams” page 
  2. Click the 3 dots near the team’s name
  3. Choose “Debrief Format”

How can I export a team's debriefs' answers?

Go to “My Teams” → Click the 3 dots on the team you want → Select “Debrief Format” → Click the Excel icon on the upper right corner.

Web Notifications

Check that the following settings are set to “On” (web):
  1. Team “Edit” Menu: Go to “My Teams” page → Click the 3 dots near the team’s name → Select “edit” → Go to “Notifications” tab → Set Debriefs via email and Comments via email to “On”
  2. User profile: Click on user avatar on upper right-hand side → Click on “Profile” → Select the bell icon → Set Debriefs via email and Comments via email to “On”
  3. The email might be automatically redirected to the your spam folder, or to a specific folder under the inbox
  4. Notifications may be blocked by your IT firewall. In this case ask the your IT department to check if there the email address delivery@shamym.com is blocked.
My email replies do not appear as comments in the platform:

Verify if one or more of the following happened:

  1. Reply email includes delivery@www.shamaym.com
  2. Reply email includes all original users’ list, and no other users
  3. You are using your Shamaym user Email address to reply

Mobile Notifications

When will I receive a push notification?
  1. A new debrief was written and shared with you
  2. Someone invited you to write a collaboration debrief
  3. An action item was assigned to you
  4. Someone has commented on your debrief.
  5. Someone has responded to a debrief you commented on.
Where can I see in-app notifications?

You’ll see these inside the Shamaym app – look for the bell icon at the top left corner. Note: Collaboration debrief invitations will not appear here – you’ll receive push or e-mail notifications only.

I don’t receive any push notifications:

Check in all the following places that notifications are set to “On”:

In Shamaym Web:

  1. Team “Edit” Menu: Go to “My Teams” page → Click the 3 dots near the team’s name → Select “edit” → Go to “Notifications” tab → Set “push notifications” to “On”
  2. User Profile: Click on user’s avatar on the upper right-hand side → Click on “Profile” → Select the bell icon → Set “push notifications” to “On”

In Shamaym mobile app:

Click on the menu bar (upper right-hand side) → Set “push notifications” to “On”

In your device’s notification settings:

Go to your device’s general settings menu → Search for “notifications” and set general notifications to “On”. Also, specifically set the Shamaym app notifications to “On”.

What Permissions Does Each Level Include?

Company Admin

  1. Can complete any action within the platform for that company
  2. Can add new teams

Team Admin

  1. Admin for the team
  2. Does not receive emails and notifications on debriefs
  3. Can add, edit, and delete users within the team
  4. Can write debriefs and comment on team’s debriefs

Team Manager

  1. Acts as Team Admin in the platform
  2. Acts as Team Member – receives emails and notifications on debriefs from the team
  3. Can add, edit, and delete users within the team
  4. Can write debriefs and comment on team’s debriefs

Action Items

How do I change actions' status?
  1. Option 1: drag the action item from its column to the column you would like to.
  2. Option 2: open the action item → pick a status from the list
  3. Option 3: switch to “List View” → pick a status from the list

Chrome Add-on for Google Calendar

What is the Shamaym add-on for Google Calendar?

Shamaym’s Google Calendar add-on is designed to upgrade your improvement cycle by making debriefing and personalized briefing part of your daily workflow.

Here’s how it works:

  • Select a meeting in your calendar and click on “Make it a Shamaym Meeting” button. That’s it, simple as that. From now, it will all work for you.
  • Then, prior to the meeting, you’ll receive an email with the most relevant, personalized lessons related to your upcoming meeting.
  • When your meeting ends, you’ll be prompted to write your lessons. With the add-on installed, you can now do it directly from your Inbox, without logging in to the platform
  • You can remember to implement your lessons by turning them into actions or briefs.

How do I download and install the Add-on?

Download options:

Option 1- go to this link https://chrome.google.com/webstore/search/shamaym

Option 2- in the login page, click on the calendar icon

Option 3- in the platform, click on the calendar icon located on the bottom left hand side menu

2. Installation: Click “Add to Chrome”

3. In the popup, click Add extension

4. That’s it! It has been added to chrome. You can ignite your improvement cycle

 

 

Login and allow access

1. Click on the bird icon/ that is inside the puzzle icon

2. Login with your Shamaym’s platform credentials. Insert your Shamaym user (your work email) and your Shamaym password. If you forgot, you can always click “Forgot password?” and reset it.

Okta / Ping Single Sign-On users – click the second button directly “Use Company Login: Okta / Ping

 

3. Allow access. In the popup, click allow until it closes. This will allow Shamaym to provide you the full benefits of the improvement cycle. Without this permission, the add-on won’t work properly.

I didn’t see the access popup
  1. Try to log out and login again
  2. Open the Shamaym platform
    a. Click on the calendar icon on the upper right side
    b. Click “Let’s Go”
  3. If that didn’t help, remove the add-on and reinstall it

Can the add-on access my private Gmail account?

No, the access is given per account. Also, keep in mind that your personal account is not the one that you are using for Shamaym.

I downloaded the Add-on and logged in, what do I do now?

Start marking your meetings as Shamaym Meetings 🙂

Through Gmail:

  1. Open your calendar
  2. Click on a meeting/ create a new one
  3. Click “Make it a Shamaym Meeting” button
  4. Choose a team that this meeting relates to, and click again “Make it a Shamaym Meeting”
  5. To unmark the meeting, you can click on the delete icon (bin)

Through the platform:

  1. Click on the Calendar icon located on the upper toolbar
  2. A side window will open and will enable you to see your coming 7 days meetings, in which you can also click “Make it a Shamaym Meeting”
  3. Choose a team and click again “Make it a Shamaym Meeting”
  4. To unmark the meeting, you can click “Undo

Through mobile:

  1. Click on the settings icon
  2. Click “Make a Shamaym meeting”
  3. To mark, click “Mark as Shamaym meeting”
  4. Choose a team
  5. To unmarked the meeting, you can click “Undo”
I can’t see the “make it as Shamaym meeting” button on my calendar
  1. Try to refresh the page
  2. If that didn’t help, try to open the event in advanced or edit mode
  3. If that didn’t help, logout and login, then refresh
  4. If that didn’t help, remove the add-on and reinstall it

Brief email

This email will be sent to you prior to your meeting, and includes up to 5 relevant lessons for you to review before the meeting:

Time to debrief your meeting!

When the meeting is over, you will receive an email, reminding you to debrief your meeting.

  1. Click “Debrief It”
  2. A popup will open:



  3. Type in your lesson*
    *If you wish to know more about the Shamaym Assistant- please see the “Shamaym Assistant” tab
  4. Choose relevant tags
  5. You can change the selected team from the one you’ve already chose
  6. You can make the lesson an Action

  7. You can make the lesson a brief, which will be sent to you at the time you’ve set



  8. You can change the sharing settings



  9. Submit your lesson. It will now be added to the platform
“Debrief it” leads me to the platform, not to the popup

Active emails

After being published, you will get an email notification about your/ your teammate’s lessons. You can now turn them into actions or briefs, or embrace a lesson – directly from the email notification you receive.

  1. Embrace: Any user can embrace any lesson
  2. Make it an action:Only the debrief owner and admins can make the lesson into an action
  3. Make it a brief: Any user can make any lesson into a brief
The Active email is not working
  1. Try to refresh the page
  2. Check your settings
    a. Open your inbox
    b. Click on the settings icon
    c. Click “see all settings”
    d. Scroll down until you reach “Dynamic email”
    e. Make sure it is enabled
  3. If that didn’t help, logout and login, then refresh
  4. If that didn’t help, remove the add-on and reinstall it

How do I remove the Add-on?
  1. Click on the bird icon/ the puzzle icon
  2. Click the 3 dots
  3. Click “Remove from Chrome”
  4. Click remove

Add-in for Outlook Calendar

What is the Shamaym add-in for Outlook Calendar?

Shamaym’s Outlook calendar add-in is designed to upgrade your improvement cycle by making debriefing and personalized briefing part of your daily workflow.

Here’s how it works:

  • Select a meeting in your calendar and click on “Make it a Shamaym Meeting” button. That’s it, simple as that. From now, it will all work for you.
  • Then, prior to the meeting, you’ll receive an email with the most relevant, personalized lessons related to your upcoming meeting.
  • When your meeting ends, you’ll be prompted to write your lessons.
  • You can remember to implement your lessons by turning them into actions or briefs.

Repeat, and improve on the go!

Please note: It currently works on cloud-based Microsoft 365 and does not support On-premise.

In order to give the consent, you should first install and login to the add-in yourself

  • Activate the add-in

Install the add-in according to the instructions (see Outlook Web/ Desktop → Install) and log in (see Outlook Web/ Desktop → Login & Allow Access)

  • Grant permission

  • Or: Copy Admin’s Consent link

After logging in, you will see this:

  1. Copy the link
  2. Paste it in the URL bar
  3. Grant permission

In case of any errors: 

  • Log in as an administrator to your Azure Portal
  • Search for Enterprise Applications
  • Find an application called Shamaym and open it
  • Go to Permissions settings item
  • Click on the “Grant admin consent” button
Deploy the add-in for users
  1. Navigate to admin.microsoft.com and login to your admin account. 

2. On the left menu click on Show All => Settings => Add-ins

If you do not see the Add-in option, click on Settings => Integrated apps => Add-ins

 3. At the top of the page click Deploy Add-in, then click Next

 4. Select Deploy a custom add-in and click on Choose from the Store 

 

 5. Search for Shamaym and click Add

6. Select the Users to assign and the Deployment Method and click Deploy

7. You should see a message saying that Your add-in has been deployed and the add-in will appear under Add-ins

Notice: It will take up to 12 hours for the add-in to be displayed on user’s ribbons – users might need to relaunch Office.

Can the add-on access my private Outlook account

No, the access is given per account. Also, keep in mind that your personal account is not the one that you are using for Shamaym.

Disconnect

Through the platform:

  1. Click on the Calendar icon located on the upper toolbar


  2. In the sidebar, click on this icon


  3. Click “Disconnect my Outlook Calendar”


Through mobile:

  1. Click on the settings icon


  2. Click “Make a Shamaym meeting”


  3. Click on this icon


  4. Click “Disconnect my Outlook Calendar”
  • How do I remove the Add-in?
  1. Click on “Get Add-ins” (Home tab, in your inbox)

  2. Go to “My add-ins”
  3. Scroll down until you see “Shamaym”
  4. Click the 3 dots
  5. Click “Remove”
